If you track items that expire—certifications, medical supplies, ammo, or anything with a use-by date—you can record an expiration date on each inventory row. The Armory will highlight expiring and expired items and can notify you in advance so you can replace or rotate stock.

Where to set an expiration date

Expiration is set per inventory row (each batch or serialized item at a location). When you add inventory, you can optionally enter an expiration date in the add form. For existing rows, open the inventory view for that location and edit the row—click into the expiration field to set or change the date. Different batches of the same item type can have different expiration dates.

When you’ll see expiring and expired items

Expiring soon and already-expired items show up in a few places:

  • Inventory view — Rows that are expired or expiring soon are highlighted (e.g. in red for expired) so you can spot them at a glance.
  • InsightsInventory Health — You’ll see counts and lists of expired items and items expiring soon.
  • Notifications — Location owners receive email or in-app notifications when items at their location are within a certain number of days of expiring, and when they’ve already expired.

Account setting: how far in advance to notify

Admins can set AccountSettingsExpiration: “Days before expiration.” That’s how many days before the expiration date you’ll get a heads-up (e.g. 30 means you’re notified when an item is 30 days from expiring). Set it to 0 if you only want to be notified when an item has already expired. For more information, see Account settings.
